Reconcile attendance when connection indicators disagree

A host expecting a small group may see a connection count that does not match the people who acknowledge arrival. Another participant may report an offline label while still moving in the office. Reconcile the observations before describing attendance or diagnosing a fault. A visible count is not a verified number of unique visitors.
Establish acknowledged attendance separately
Use the invitation list and a simple acknowledgment through the agreed channel to determine who has arrived. Note anyone whose participation remains unconfirmed. Keep this list separate from the number displayed by the office.
For example, four invited colleagues may confirm attendance while a higher count remains visible. Report four acknowledged attendees and an unexplained count difference. Do not turn the extra connections into new users, customers, or additional people without evidence.
Identify known extra sessions without guessing
Ask hosts and testers whether they have another tab, browser, or device open. A person may have several test sessions; similar display names may also belong to different people. Neither possibility can be resolved from the names alone.
With the session owner's agreement, have them close an unnecessary test tab while retaining the intended meeting session. Record which tab they changed and what the display did afterward. Signing out of an account and closing a guest tab are different actions; do not prescribe either as a guaranteed cleanup for every workspace. This procedure does not assume access to a private client list or a database of sessions.
Compare the exact conflicting behaviors
Record where the unexpected label appears: user list, nickname, or media control. Ask the affected participant to acknowledge the current time and describe what still works. Movement, message delivery, and media connection are separate observations; one working path does not prove every connection is healthy.
If a participant has not agreed to a test message or media check, document only the available evidence. Do not start calls or request camera access merely to investigate a presence label. Note when the discrepancy begins and whether it changes after the owner's ordinary session action.
Hand off a bounded discrepancy report
Give the maintainer the intended context, visible label and count, timestamp, known extra sessions, and shortest observed sequence. Include a relevant crop rather than private conversations or unrelated browser contents. Describe uncertain causes as uncertain.
After a change, repeat the original observation with the affected participant. Confirm the label and acknowledged attendance separately. If the discrepancy remains, retain the unresolved report; do not replace it with a claim that everyone is offline or that a raw count measures genuine audience growth.
